Coda Coffee Policies and Procedures for Operating after April 26th, 2020

It is the policy of Coda Coffee Company to continue to protect our employees and communities from the spread of the Coronavirus. Gov. Polis has announced an end date to Colorado’s Stay at Home order as of April 26th , but it is our responsibility to continue to monitor and take preventative measures to ensure that we are able to continue operations at our facility until the threat of the Coronavirus has been neutralized. The following measures will be implemented beginning Monday, April 27th to continue guaranteed safety for our employees and customers.

1)     Maintaining Social Distancing is still encouraged within the facility in the following ways:

a.     Employees and Visitors should maintain 6’ of distance between each other whenever possible, including a maximum occupancy of the breakroom of 4 people at a time

b.     Employees and Visitors will wear masks, or face coverings at all times to help prevent any spread of respiratory droplets

c.      Limited Visitor Access to our facility. Visitor’s will only be seen by appointment only, and must adhere to all policies and procedures outlined in this document

2)     Continued practice of Sanitation and Disinfection procedures

a.     Employees and Visitors will continue to observe following standard Good Manufacturing Practices regarding hand washing and personal hygiene

b.     All frequently touched surfaces (i.e. door handles, light switches, keyboards, etc.) will be disinfected on a regular basis

c.      Employees and Visitors are required to receive a temperature check before beginning work or being allowed into the production area

d.     Any employee or Visitor who reports feeling sick before or during their shift/visit will be immediately sent home. The employee’s work area will immediately receive disinfection and sanitation procedures to ensure that all surfaces are clean and clear of any possible contagions

It is our intention that by maintaining these policies and procedures we will be able to continue providing a safe environment and product for our employees and customers. We will continue monitoring the situation and guidance being provided by the CDC and Gov. Polis and are prepared to revise these policies and procedures as necessary.

We are writing to inform you about further measures that we are taking to ensure the safety of our employees and customers regarding Covid-19. As new information and developments arise, we are adapting and adjusting our manufacturing practices to continue delivering safe product to our customers. The following are procedures and policies that have been implemented since our last message on 3/13/2020.

1.    All employees are to wear face masks or coverings when on premises.

2.    Continued adherence to Good Manufacturing Practices including:

a.    Regular Handwashing before returning to work after breaks, using facilities, touching high contact surfaces, touching face or hair, and every two hours after continuous work on the production line.

b.    Disinfecting and sanitizing high contact surfaces such as door handles, light switches, worktables, computers, etc. every two hours. 

3.    Continuing the practice of Social Distancing in the workplace including the further limiting of break room occupancy and encouraging office employees to work from home.

4.    We have discontinued in person will calls and are not allowing the general public in our facility.

5.    Coda Delivery drivers are maintaining Social Distancing measures when dropping product.

6.    We are implementing temperature checks for employees to monitor for potential illness.

7.    Any employees who call in sick are required to stay home until they are symptom free without medication for 72 hours.

We will continue to monitor updates from the CDC and use that information to shape our policies in the help fight to stop the spread of Covid-19.

In order to help manage the concerns of the Coronavirus in our manufacturing practices, we have taken the following steps to maintain Quality Assurance for our employees and customers:

  1. Per our Food Safety Plan in accordance with the Food Safety Modernization Act (FSMA) we have reviewed Good Manufacturing Practices (GMP) with all of our employees including Hand Washing Policies, Sick Leave Policies, and Policies regarding the handling of finished product

  2. Going forward, Delivery Drivers will not be taking signatures for invoices. In lieu of signature, drivers will be taking the name of the employee receiving the order and the time at which the order was delivered

  3. Per FSMA regulation all incoming deliveries to our facility record the following information:

    1. Vendor Name and Product Information

    2. Shipping/ Freight Company Name

    3. Delivery Driver Name and License Number

    4. Inspection of all trailers for cleanliness and evidence of tampering

  4. All visitors to our facility are required to sign in with our front desk, instructed to follow established GMPs, and are accompanied by a company representative at all times

  5. Per FSMA regulation, all of our Vendors have been vetted through our Approved Supplier Verification program. This includes a review of each company’s Food Safety Plan and records of any Certificates of Authenticity (COA’s) for specific lot codes being sent to our facility.

We are fully invested in the health and safety of our employees and customers. The precautions listed above are routine in our day to day operations, and we are constantly researching and revising our operations to maintain the highest level of Quality Assurance. Our Food Safety Plan is designed with preventative measures to ensure that we are actively protecting our customers from any potential harm.
